Crews allows you to specify the combined cost for a group of laborers (that is, a crew), and see the total cost and hours/days for all uses of the Crew in the Bid Items.

 

Crews are assigned to Items in the Price Book and Bid to take care of the Labor portion of the Item. When a Crew is assigned to a Price Book Item in the Price Book Item Form, the Raw Cost for that Crew is copied into the Labor Raw Cost for the Item. The Crew is copied along with the rest of the Price Book Item when it is copied to the Bid, but, like other Bid Item fields, it may be customized in the Bid to suit your needs.

 

The Crews List window allows you to add, edit, delete, or change the cost of Crews. To get to the Crews List, select Crews from the Price Book menu.

 

In the Crews List, you can also see a summary of each Crew’s use in the current Bid, both the hours/days ("units") used and Total Cost and Price. Depending on how you wish to set up your Crews, you may accumulate hours and cost by either Crew Hours/Days (i.e., how long the entire Crew works), or man-hours/man-days for the Crew (e.g., if the Crew contains 3 laborers, each hour worked by the Crew as a whole counts as 3 man-hours). We suggest using Units of "HR"/"Hour" and "DY"/"Days" for Crew-hour/day-based costing, and "MH"/man-hours" and "MD"/"Man Days" for man-hour/day-based costing. You should enter Crew Raw Costs (described below) based on the costing method chosen.

 

Note that unlike other summary lists, Crews only accumulate the Labor column -- not the Material, Subcontractor, etc. -- so the Total Cost of all Crews will not add up to the Bid Total Cost. This allows you to get a realistic estimate of the Crew usage and cost, independent of whatever materials they are working with.

 

By entering in a Crew Code and Description and assigning the Crew to one or more Items, you can total all the costs for that Crew. You may also sort or cross reference to a particular Crew for a Report.

 

Here is an explanation of the columns in the Crews List:

 

Tag Standard Tag field, used for selecting, editing, etc.

 

Code A unique number or short name for the Crew.

 

Description Description of what the Crew is or does. Alternately, you may just enter the composition of the Crew here (e.g., "1 Foreman, 4 building laborers").

 

Composition Enter the makeup of the crew, e.g., "4 framers" (If you entered the Crew composition in the Description field, you may leave this field blank -- or use it for continuation of the composition information.)

 

Raw Cost/Unit Enter the cost of the crew.

 

Order Qty The total Order Quantity is calculated by adding all the Bid Item Labor Cost Columns with this Crew and that match Unit without regard to upper- or lower-case letters.

 

Unit Enter a unit that must match exactly (except upper- and lower-case letters are considered the same) to determine the total hours above. If you don’t want items to total, give them a different bid unit.

 

 

If you have the optional Unit Accumulation feature, you will also see the Unit Cost and Unit Price columns:

 

Unit Cost The Unit Cost is how much you expect to pay for this Crew, including Cost Markups such as Taxes, per hour (or day, etc.). (See the Unit Adj. Cost for the before-tax cost.) It is computed by dividing the Total Cost for the Crew by its Order Quantity. In order for the Unit Cost to be an accurate per-Order-Unit cost, all Bid Order Units should match their Crew’s Order Unit.

 

Unit Price The Unit Price represents how much you expect to charge your customer for each unit of this Crew’s work. Being based on Price, the Unit Price includes Price Markups such as overhead, bond, and profit. The Unit Price equals to Crew Total Price divided by its Order Quantity. Again, like the Unit Cost, all Bid Order Units should match their Crew’s Order Unit.

 

As with most lists, each Crew has a memo associated with it. The memo is stored in Price Book, so it is common to all the Bids. To see the memo, select Memo from the Edit menu. You may want to use the memo to give further information about the Crew, such as how much each member costs and how you calculated the Crew cost, productivity, etc.

 

When the Raw Cost of the Crew is changed, you will be asked if you want to change the Cost for all uses of the Crew in Price Book. (If the Crew is not yet used by any Items, you can save time by answering No here.)

 

To update the Bid with current Crew Costs, use the Update Items to/from Price Book feature off the Bid menu.
