Item Selection

The Item Selection window is one of the main windows of the estimating system. It is used to find Items in your Price Book to copy them into your Bid. You can also use the "Select" button to select Items using Assemblies or Super Assemblies, or the "Build" button to build Assemblies or Super Assemblies.

 

Getting into the Item Selection window:

There are many ways to get into Item Selection. Use whichever is most convenient for you:

o Choose "Select Items from Price Book for Bid" from the Bid menu.

o Click on the first icon in the Window Toolbar, labeled "Select Items [from the] Price Book."

o Press the F11 key.

o When on the Bid Item List, press F1 or the right mouse button and choose "Select Items from Price Book to Add to Bid."

o When in the Bid Item Code or Description column, the List (F7) key or toolbar icon will go to Item Selection.

 

 

Selecting an Item by Division and Subdivision:

o In the top part of the Item Selection window, there are three list boxes: Divisions, Subdivisions and Price Book Items. The Division is the broadest grouping of Items. To choose which Division to select from, just click the left mouse button on it. The Subdivisions in that Division will appear in the Subdivision box. Similarly, clicking on a Subdivision reveals the Items in that Subdivision. (Note that if you are in the Item Worksheet or other window, you may have to click once before selecting from Divisions, Subdivisions or Items to get into the Item Selection part of the window.)

o To select an Item to be used in the Bid, click on an Item in the Price Book Items list box, and then press the Transfer button to move it to the Item Worksheet in the lower part of the Item Selection window. Once in the Worksheet, Items can be given Quantities.

o You may choose as many Items as you wish, selecting different Divisions and Subdivisions as necessary.

o If you know the Item Code you wish to select, you may also enter the Item Code in the Worksheet’s Item Code field, and the Item will be pulled in. You can also add a new Item here by typing in an unused Code.

 

 

Entering a Bid Item Quantity while in Item Selection:

o You may enter a Quantity for any Item in the Item Worksheet window and the value will be pulled back into the Bid Item. Also, even if the Item has a Question attached to it, the Question will not be asked since you entered an "override" Quantity.

 

 

You may automatically enter Quantities for Items being transferred if you enter a quantity in the "Qty:" field and enter a unit in the field to the right of it. Then, any Price Book Items transferred with the same Unit will receive the Quantity you entered. You can automatically set both the Quantity and Unit at the same time by choosing a Question that already has a Quantity (Answer) and Unit attached to it: click on the small list icon to the right of the Question box to get to the Question List, highlight the appropriate Question and then click back on the Item Selection window..

 

 

Changing Items in the Item Worksheet

The Item Worksheet provides a preview of the Items which you are about to add to your Bid, and allows you to change (or remove) them. Any changes to Items in the Worksheet are "Bid specific" and will not affect the same Item in your Price Book or even other similar Items in your Bid. You may change any Item’s Quantity, Description, Part Number, or Memo.

 

Most of the Tag menu commands are available to be used in the Worksheet, such as changing only tagged Items’ Quantities or removing a group of Items from the Worksheet.

 

 

Setting the Location for the Items:

You can also set the Location for each Item in the Location field of the Worksheet.

 

In addition, if you want many Items to be in the same Location, you can type that Location into the "Loc:" field in the top portion of Item Selection window, and all Items transferred with be assigned to that Location. Of course, you may change the Location of any of the Items in the Worksheet as needed.

 

 

Finding Divisions, Subdivisions and Items quickly:

o  To search the Division, Subdivision or Item List, click on the appropriate list first, and then click in the field to the right of the "Find:" button. Type a part of the Description. Capitalization and spaces do not matter; entering "2x4" will find "2 x 4", "2 X4", and "9892X401".

o To find the first match, press the Enter key in the find text field.

o To find more matches, click on the "Find:" button.

o Once you find the Item you want, you may transfer Items to the Worksheet, etc., normally.

o Note that the last find you performed on each list is remembered by the program and is displayed in the find text field when you click on each List.

o To find an Item in the Item Worksheet, move to the column you wish to find in and press Help F1 Key and choose the Find command.

o Enter a Partial Description and press Enter. The list will automatically show only those matching items.

 

Transfer Button

 This will move the highlighted Item from the Price Book to the Worksheet. (In Assembly or Super Assembly Selection modes, it moves the selected Items for the entire Assembly or Super Assembly.)

 

 If the Item was imported from a CAD/drawing program, and was sent over with a CAD ID, you may use the Transfer button to map that CAD object to a Price Book Item, and remember that mapping (in the Price Book Item’s CAD ID field) for future use. When EasyEst Estimating detects a CAD ID which could be mapped, you will be asked if you want to map the CAD ID to the Price Book Item when you transfer the Item. If you ask to Map the Item, it will be automatically mapped to the Price Book Item in future CAD/Drawing Imports. If you can also just Replace the current Worksheet Item with the highlighted Price Book Item, without establishing a permanent mapping, or just Add the highlighted Price Book Item to the end of the Worksheet.

 

 You may also transfer and even map an Item by typing its Code into the Item Code field in the Worksheet.

 

 

Move Items to Bid Button

 Press the "Move Items to Bid" button in the lower left-hand corner of the Item Selection window to move all the Worksheet Items into your Bid Item List, but remain in the Item Selection window. The Worksheet will be cleared. If you want to move the Worksheet Items to the Bid and close the Item Selection window, press the Done button instead.

 

 

Remove Button

o If you decide you do not want to use a Item in the Worksheet, it can be removed by pressing the Remove menu button (at the bottom of the Item Selection window) and selecting "Remove Current Worksheet Item" from the pop-up menu. The standard Delete Record key (Shift+F3) and toolbar icon may also be used.

o To remove multiple Items from the Worksheet, just untag those Items you no longer want, and select "Remove Untagged Worksheet" Items from the Remove pop-up menu.

o To remove all Items from the Worksheet and start over, click on the Remove menu button and choose "Remove All Worksheet Items".

 

 

Build Button:

The Build button is a fast way to move to another window to add or edit an Item, Division, Subdivision, etc. Just click on the Build button and then choose where you want to go. If you have Assemblies or Super Assemblies, you can also use the Build button to get to the Assembly Builder or Super Assembly Builder.

 

 

Select Button:

 

Depending on which level of Estimating system you have, you may have other options for selecting Items, e.g., "Select Assemblies" or "Select Super Assemblies". Clicking on one of these will display the appropriate screen, "Assembly Selection" or "Super Assembly Selection".

 

 

Picture Button:

If you have the optional Visual Pictures feature and Pictures are available for your Price Book, then the Picture button will be displayed. Use this selection process to click on various parts of a picture to get a list of appropriate items. (Optional) Assemblies and Super Assemblies can also be used in this manner.

 

 

Done Button

The Done button will exit this window and move all your Worksheet Items to your Bid.

 

 

Cancel button

Use the Cancel button to exit the Item Selection window without saving your work. You will be asked if you to save, in case you pushed the button by mistake.
